Monitoring

When a completed registration form and appropriate fee, or a completed online registration has been received, the administration office inputs the details of the company onto the Scheme’s database.

The company’s details are issued to one of the Scheme’s experienced Monitors, who will call the contact named on the registration form to arrange a suitable time to visit the registered company; ideally at the company’s office. The purpose of this visit is for the Monitor to assess the company’s performance against the Scheme’s Company Code of Considerate Practice and for the Monitor to offer advice and suggestions about how to perform to a higher level.  During this visit, the Monitor will arrange a future date to inspect one of the registered company’s sites. If the Monitor is happy that the company is performing to at least the basic expectations of membership, they will inform the administration office to send the registration materials, including posters and van stickers. Companies failing to meet the basic expectations will be monitored again, once sufficient time has been allowed for non-compliance issues to be addressed.

After the office visit, the Monitor will produce an un-scored report, documenting the company’s performance against the Scheme’s Code and highlighting areas where improvements could be made.

After each site visit, the Monitor will produce a scored report taking into consideration the site’s performance, compared to the original office report, and will again offer advice on how to further improve.

A number of further site visits will be made, determined by the amount and type of work carried out by a registered company and following consultation with the company. The Monitor will produce a scored report after each additional site visit.

 Monitor Visits
Annual Turnover  No of sites per year Number of visits
     Office  Site (up to)
Less than or equal to £3.5 million  N/A  1  2

In all cases, the Monitor will contact the registered company to arrange a suitable time and location for a site visit.

Additional visits are available via the administration office at a cost of £100 per additional site visit and £150 per additional office visit.
